This notice explains how the automated assistant works and what happens to the information you give it. It covers the assistant on this website and the same assistant on our WhatsApp number. It sits alongside our Privacy Policy, which continues to govern everything else, and it prevails over that policy only where the two describe the assistant differently.
Our AI Assistant
Parts of this website offer an automated assistant that can answer questions about our products and how to use them, and that can help professional customers arrange a call with a member of our sales team. It is a computer system, not a person. You are told this before the conversation begins, and you can ask to be put in touch with a person at any point during it.
What we process. The messages you type, and — if you choose to speak rather than type — the audio of what you say while the conversation is open. If you give them to us during the conversation, we also process the contact details you provide (for example your name, email address, telephone number and the name of your clinic or practice) and the answers you give about your professional situation.
The microphone. Voice mode is optional. Your microphone is requested only after you accept the notice shown at the start, is used only while the conversation is open, and stops when the conversation ends or you close the assistant.
Recordings. We do not keep recordings of your voice. Audio is transcribed as you speak and is not retained afterwards. We do keep a written transcript of the conversation, together with a record of the steps the assistant took, so that we can answer your enquiry, follow up on any appointment you request, resolve disputes, and demonstrate that the assistant behaved as it is required to.
Why we process it. To respond to you and provide the information you asked for; to arrange an appointment where you request one; to keep a record of what was said and agreed; and to monitor and improve the quality and safety of the assistant. Where the law of your country requires a legal basis, we rely on your consent for the use of your microphone and for any contact details you choose to give us, and on our legitimate interest in answering enquiries and keeping an accurate record of them for the rest.
Who else processes it. The assistant is built on specialist service providers who process this information on our behalf, under contract and only on our instructions:
- LiveKit — carries the real-time audio between your browser and the assistant.
- Deepgram — converts your speech into text.
- OpenAI — generates the assistant's replies.
- Cartesia — converts the assistant's replies into speech.
- Our hosting provider, which runs the assistant and stores the transcript.
These providers are located in the United States. Where we transfer personal information out of the European Economic Area or the United Kingdom, we rely on the transfer mechanisms described under "International Transfers" in our Privacy Policy.
How long we keep it. Transcripts and the associated records are kept for as long as we need them to deal with your enquiry and any resulting order or appointment, and thereafter for as long as required to meet our legal, accounting and record-keeping obligations, after which they are deleted.
What the assistant will not do. The assistant does not give medical advice, does not diagnose skin or health conditions, and does not take payment card details. It does not give the steps, timings or concentrations of a professional treatment unless we have verified that you hold a professional account with us; where we have not, it offers you a booking link to speak to one of our experts instead. Please do not give it payment card information, health information or any other sensitive personal data; if you do, we will delete it. The assistant is not intended for use by anyone under 18.
If you message us on WhatsApp
The same automated assistant answers our WhatsApp number, +1 720 257-8060. It works the same way and is subject to the same limits as the assistant on this website, with the differences set out here.
It tells you what it is, first. The first message of every conversation says that you are talking to an automated system and not to a person, and tells you how to ask for one. If you ask whether you are talking to a person, the answer is no. A person is not reading this number at every hour: requests that need one are passed to support@ttsclinical.com and answered on business days.
What we process here. Your WhatsApp phone number, your profile name as WhatsApp supplies it, and the messages exchanged in the conversation. We do not process voice notes or images: the assistant can only read text, and says so.
Your number is used to answer you, and for nothing else. A number that reaches us because you wrote to us is not consent to be telephoned, and not consent to be messaged again once the conversation is over. It is not added to any marketing list and is not used to start a new conversation. This is enforced in the software, not only in policy.
How long we keep it. The conversation and the number attached to it are kept for 30 days after the last message and are then deleted. Thirty days because a conversation people return to days later is half the value of the channel, and because it is the same period Meta itself applies to message content. Nothing about a WhatsApp conversation is kept in our other records: the number is written to the conversation store, which has this deletion period, and nowhere else.
Who else processes it. Meta Platforms carries the messages and holds their content for up to 30 days as part of delivering them. Meta processes this on our behalf for that purpose; we remain responsible for the conversation. Our hosting provider runs the assistant and stores the conversation, and OpenAI generates the replies, both as described above. Messages on WhatsApp are encrypted in transit between you and WhatsApp; once a message reaches us it is handled as described here.
If you tell it you are a professional. Saying so is enough to change how it talks to you and which prices it quotes. It is not enough to obtain the steps, timings or concentrations of a professional treatment: for those, the assistant asks for the e-mail address of your professional account and checks it against our customer records. If we hold no professional account for that address, it does not give the protocol; it offers you a booking link to speak to one of our experts instead. We use the address you give for that one check and to attach the result to the conversation, on the same 30-day period as the rest of it. If you would rather not give an address, do not: everything else on this channel works without one.
Deleting a conversation. Write to support@ttsclinical.com from, or quoting, the number you messaged us from, and we will delete that conversation and the number with it. You do not have to give a reason and you do not have to wait for the 30 days to pass. Deleting your copy of the chat in WhatsApp does not delete ours, which is why this route exists.
What it will not do, here either. It does not give medical advice, does not diagnose anything, and does not take payment details. Please do not send it health information; if you do, we will delete it. It is not intended for anyone under 18.
Your choices
You do not have to use the assistant: you can reach us instead at support@ttsclinical.com. You can end the conversation at any time, ask for a person, or ask us not to contact you again — the assistant will record that request. The rights described under "Your Rights and Choices" in our Privacy Policy, including access to and deletion of your transcript, apply to this information in the same way as to the rest.
